1. Introduction

This Privacy Policy governs the collection, use, and storage of data by Simply Apply ("the Bot"), operated by Invomagic Studios. By using the Bot in your Discord server or interacting with it as a user, you agree to the practices described in this Privacy Policy.

2. Information We Collect

To function effectively, Simply Apply categorizes data into two types: Stored Data (kept in our database) and Ephemeral Data (processed but not saved).

A. Stored Data (Configuration & Identification) We store the following to manage the application systems and other systems:

Server Configuration: Server IDs, Channel IDs for logging, and Role IDs for permissions.

Application Setup: The questions, application names, descriptions, and requirements configured by server administrators.

User Identification: User IDs and other user information (who is interacting with the bot).

Simply Assistant (AI): If you configure the "Simply Assistant" feature, we use your provided API Key solely to authenticate requests with Google's servers. We do not use this key for any other purpose.

B. Ephemeral Data (Processed but NOT Stored)

Application Responses: The actual answers users type into the application forms are not stored in our database. This data is processed strictly to format the application and send it immediately to the server's designated log channel.

3. How We Use Your Data

The data collected is used solely for the operation of Simply Apply:

Configuration Management: Storing your setup (questions/roles) so the bot remembers them for future use.

Transmission: Taking user inputs and sending them to the server administrators for review.

Permissions: Using User IDs to ensure only authorized staff can modify settings or accept/deny applications.

API Keys: We use your key to make requests if you so setup Simply Assistant, we do not use it otherwise

Other Aspects of the bot's operation: Allowing the bot to operate properly

We do not sell, share your data for advertising, or share it with data brokers for any reason, your data is not used beyond operational and in some cases moderation uses

4. Data Visibility

Please be aware that while Simply Apply does not store your application answers in a database, the answers are posted directly to a Discord channel in the server where you applied.

Once posted, this content is governed by Discord's Terms of Service and the privacy practices of that specific server's administration.

Invomagic Studios cannot view, edit, or delete these messages once they are delivered to the server.

5. Data Retention

Configuration Data: We retain server settings (questions, app names, etc.) for as long as we may need to use it

User Responses: As stated above, specific answers to application questions are not retained by Invomagic Studios. They exist solely within the Discord channel where they were sent.

6. Stop Data Collection

To stop us from collecting data on you or your members kick the bot

7. Security

We take appropriate security measures to protect the configuration data we store. However, no method of transmission over the internet is 100% secure.

8. Changes to This Policy

Invomagic Studios reserves the right to modify this Privacy Policy at any time. Significant changes will be announced in our Support Server.
